POLICIES AND PROCEDURES

Attendance/Late Policy

  • As a sensei, being in the dojo on time and ready to work is crucial for maintaining ​a positive experience and atmosphere.
  • Your team members, the ninjas, and their parents count on you to arrive on time, ​fully engaged, and with a positive attitude.
  • Consistently being late or absent disrupts the flow and creates unnecessary ​stress for everyone.

We understand that on occasion, unexpected circumstances may come up beyond your ​control and may affect your arrival time. If you are running late, it's your responsibility ​to inform management and the other scheduled sensei, so they have time to prepare. ​Repeatedly arriving more than 15 minutes late to your shift, and/or showing up more ​than 30 minutes late without notifying management beforehand, could lead to ​disciplinary action, up to and including termination.

Time Off Requests

Time off requests should be submitted through Homebase. Note that not all requests ​are guaranteed approval, and if staffing is short, you may still be required to work.


Review your shift detail and email daily for assigned tasks and ​to-do items. All tasks are expected to be completed by the end ​of the day. If time constraints prevent completion, inform ​management promptly to make alternative arrangements.

When you are regularly scheduled for a shift or once schedules are posted, you’re ​expected to be there and on time. If your availability changes, it’s your responsibility ​to arrange for someone to cover your shift. This should be done by sending out a ​shift coverage request through Homebase. If you are unable to find coverage and ​neglect to come in without receiving managements approval, it will be considered an ​unapproved absence which could lead to disciplinary action, possibly even ​termination.

General Sensei Responsibilities:

Utilize downtime effectively and ​engage in proactive activities such as:


  • Updating the whiteboards with new puzzles, student progress, announcements, ​brain break activities, etc.
  • Review student progress and make sure the system and/or tracking spreadsheets ​are updated.
  • Replenish session cards as needed
  • Check computers to ensure the latest software has been updated
  • Check supplies and note on communication board when low, check and restock ​flyers as needed, and any other initiatives that would help make the center more ​efficient and organized.
  • Maintain center cleanliness and restock supplies such as tissues, toilet paper, paper ​towels, coffee, condiments, etc. Re-stock supplies as needed.
  • Brainstorm ideas for fun brain breaks or activities for the kids, set up STEM stations, ​review training documents for updates, find and curate videos to play on the lobby ​TV, organize files and folders on shared Sensei accounts, and perform other ​administrative duties as assigned.
  • Take responsibility for ensuring the cleanliness of the facility by cleaning the ​bathroom, vacuuming hallways, taking out trash/recycling, keeping counters, ​desks, and tables tidy by storing items in their designated places, etc.
  • Additionally, contribute to content creation for social media platforms, such as ​taking videos and photos to promote our brand and engage with our community ​effectively.

Be proactive and prepared for anything—your responsibilities ​might change daily. While some tasks may be assigned to ​specific positions, adopt a team-oriented mindset and be ready ​to pitch in whenever and for whatever is needed.
